Knowledge and Digital BrainA document is not enough. Why knowledge should connect to work in IM Omni
Digital Brain, documents and SOPs make sense when they help people complete a specific task. Explore the value of knowledge available in a process context.
The company has documents, but people keep asking the same questions
A procedure is in a folder, the latest decision is in a message, and only one person remembers why an exception was made. An employee may find several files and still not know which one applies to their task. The problem is not necessarily missing information. Often, the missing piece is its connection to specific work.
In IM Omni, Digital Brain is part of the organisational environment, not a separate product. The described scope connects documents, decisions and knowledge with process context. The aim is to make it easier to answer: “What do I need to know to complete this step?”
What should connect a document to a process
A useful procedure explains when to apply it, who owns it and what outcome it should produce. An SOP, or standard operating procedure, describes a repeatable way of doing work. Connecting it to a process reduces the need for each person to reconstruct the context independently.
A shared environment does not remove the company’s responsibility to maintain its knowledge. Sources, document owners, update methods and access must be agreed. Adding a file to a tool does not confirm that it is correct or up to date.
Example: a new employee handles an unusual order
A new employee knows the basic workflow, but a customer asks to change the terms. They need the procedure, responsibility information and a way to pass the matter on for a decision. In this example, the value is not in displaying as many documents as possible. It is in finding knowledge relevant to the specific exception.
Connecting processes with documents and roles gives the team a shared reference point. If information is missing or sources conflict, the right person still needs to clarify the matter. AI support, if included in the service scope, should not be treated as confirmation that a document is accurate.
When shared knowledge creates value
Consider this area when experienced colleagues repeatedly receive the same questions, covering absences is difficult, and onboarding depends mainly on a mentor’s availability. Organised knowledge may help reduce these dependencies if the team actually uses it and keeps it current.
Before starting, select a few questions that arise within one process. Check how employees find answers and when they ask for help. Repeat the same tasks after organising the knowledge. Assess the accuracy and usefulness of answers, not just how quickly a file is found.
Do not move every folder at once
Start with one process, a set of current documents and a person responsible for maintaining them. Resolve ambiguities: which materials are current, who may use them and what to do when instructions do not cover a situation.
We tailor Digital Brain, documents, connections and any integrations to the selected AI Reveo Automation service. IM Omni access does not automatically connect every company source or make it available to every employee.
